The people who keep buildings running —security guards, cleaning staff, technicians, fire wardens —usually work on paper and over the radio. AnyField puts their own file, patrol rounds, zones and tickets on the phone, and the evidence builds itself, at the source: checkpoint physically reached, zone scanned, incident with photo and position. For security companies, facility management, shopping malls and property managers. Enrolment with one QR code, no per-employee licences, on-premise server.

Verified patrols, incidents with evidence

The patrol route = checkpoints on the building plan. The guard walks, the phone confirms each checkpoint by itself, and the control room sees the patrol in real time. No more logbooks, no more "I was there / you weren't" arguments.

Checkpoints confirmed automatically

  • GPS outdoors —the checkpoint is confirmed when the phone enters its radius (e.g. 25 m; larger next to tall buildings, where GPS is less accurate)
  • NFC indoors —the guard taps the tag on the wall; works without signal too
  • Beacon underground —no scanning at all, from the pocket, with the screen off (see ergBeacon)
  • Strict or free order; minimum accepted GPS accuracy, configurable per patrol

Missed or late patrol

  • Every checkpoint has its tap time; missed checkpoints and deviations from the order appear in the report
  • Live tracking for the manager: the guard's position on the map, the route walked, "last signal X seconds ago"
  • A patrol stopped from the server also stops the service on the phone

Route created in the field

  • The shift leader taps "Create route", walks to the first checkpoint, "Add checkpoint" —the position is fixed from several GPS readings
  • Optionally scans the NFC tag or links the nearby beacon; a checkpoint without GPS is saved with just the beacon/tag
  • "Done" —the route appears immediately on the guard's phone. No computer needed.

Incident with evidence

  • Incident report straight from the phone: photo + position + time, in 30 seconds
  • Shift handover, post orders —in the app, not in a logbook

ergBeacon —the checkpoint without GPS, designed by us

In a five-level underground car park there is no GPS, and an NFC tag needs the screen on and the app in front. ergBeacon is a Bluetooth Low Energy beacon mounted on site: the guard's phone recognises it by itself when passing by, from the pocket, with the screen off, without any scanning. Each beacon broadcasts a code that changes every 30 seconds, cryptographically signed and verified by the server —it cannot be copied or simulated from a distance.

Impossible to clone

  • Rolling code: identifier + counter + HMAC signature with a unique key per beacon, renewed every 30 s
  • The server verifies the signature and rejects replayed codes (anti-replay counter)
  • The beacon is also a witness: it sees the guard's phone and reports its own status (heartbeat)

No batteries, no maintenance

  • Mains powered (230 V), mounted directly inside the light fitting or in a junction box
  • Range calibrated at installation: from a doorway (≈2 m) to a whole level; normal walking pace, no stopping
  • Placement rule: 5–10 m of clear space towards the guard's route

Programmed from the phone

  • The ergBeacon Setup app gives each beacon the checkpoint name and the car park level
  • Linking the beacon to the checkpoint is done in the field: "Link the beacon next to me"
  • Firmware updates without dismounting

How the system knows where the person is —even at level −5, underground

Each method where it fits, in the same app. When there is no signal, taps are stored on the phone and sent when the network returns, with the real time of the tap.

💡 For a whole shopping mall we are talking about a few hundred tags and a few dozen beacons —a total "infrastructure" investment smaller than a single company phone.

Zones ticked, not assumed

Every zone (toilets, food court, car park −2) has its own scan point. The supervisor sees the live map of zones: green ticked, grey untouched. The daily report by zone and by team is ready for the client.

The core is universal; the modules differ by job. Exactly the same screen, with different buttons underneath, goes to the security guard in the underground car park and to the cleaning staff in the food court. Nothing is built from scratch: payslips, documents, requests and photos already exist in the HR system —the app is just their window to the employee.

Pilot on one site, then expand on the numbers

We start from what exists: the app is published on Google Play and runs in production, the HR system has the data. We connect them, we don't rebuild them.

  1. "My file" for everyone + enrolment —the universal portal on the phone: personal data, payslip, requests, documents to sign, clock in/out. Enrolment is done from the personnel file, with a QR code. The first weeks.
  2. Security pilot —one site with an underground car park: we install the checkpoints (cryptographic tags and beacons on the patrol routes, including −1…−5), define the patrols with time windows, start the patrol report and the incident with photo. All shifts, 4–6 weeks of real operation.
  3. Cleaning pilot —we tag the zones of a mall, define the routes per zone and start the reports. Supervisors get the live map. Runs in parallel with the security pilot —different teams, the same system.
  4. Technical and tenants —maintenance tickets and accounts for the tenants of one pilot building, on the technical module started earlier.
  5. Review and expansion —comparative report (patrol coverage, zones ticked, resolution times, time saved by the control room), then expansion to other sites. The bill grows with the number of ideas, not with the number of people.

What security and facility management companies ask us

How is a security patrol verified with AnyField?

A patrol is an ordered list of checkpoints placed on the building plan. The guard starts the patrol on the phone and walks the route; each checkpoint is confirmed automatically when the phone enters its radius (GPS, outdoors), when it taps the NFC tag on the wall, or when it passes an ergBeacon beacon (indoors, without GPS). The control room sees the position, the checkpoints reached and the ones missed live, and at the end receives the patrol report with the real route and the time of each checkpoint.

Does it work in the underground car park, where there is no GPS and no signal?

Yes. Indoors the checkpoint is either a passive NFC tag (no power) or a mains-powered ergBeacon Bluetooth beacon. The beacon is recognised automatically by the phone, from the pocket, with the screen off. Taps and positions are stored on the phone when there is no signal and sent to the server when the network returns, with the real time of the tap.

Can the guard cheat the patrol (copy the tag or the beacon)?

For sensitive checkpoints we use NTAG 424 DNA cryptographic tags, which generate a unique code on every tap, verified by the server, and ergBeacon beacons that broadcast an HMAC-signed code changed every 30 seconds, with an anti-replay counter. Neither can be copied or simulated from a distance. For low-stakes areas (locker rooms, storerooms) standard NTAG213 tags or QR stickers can be used, at a much lower cost.

What equipment is needed?

An ordinary Android phone (the employee's own or a shift phone shared by several guards with PIN and sign-out), NFC tags costing a few lei each and, for underground use, mains-powered ergBeacon beacons. For a whole shopping mall we are talking about a few hundred tags —a total investment smaller than a single company phone. There are no per-employee licences: enrolment is done with a QR code generated from the personnel file.

Does it integrate with timekeeping and payroll?

Yes. AnyField is natively connected to the ERGISS HR system: clock in/out from the app lands in the attendance sheet, leave requests are approved by HR, and the employee sees the payslip and history on the phone. For clients with another payroll system, the month's attendance is exported through the existing channel.

Who is the app for?
